This letter/email is for the
immediate attention of your company managing director/CEO, or the Owner of the
company, if you are not a decision maker of the company.
I am sorry for
my late reply, as I have been having series of meetings with the buyer, to
finalize on this order.
Sir, I am writing to inform you that I received
your email/quotation and that I have presented your company name and products to
the buyer here in Nigeria, that directed me to look for foreign companies that
can supply them the products to the market. Now, they have accepted to place an
immediate order with the condition that your company must apply and registered
as a VENDOR/NON RESIDENT CONTRACTOR with Burea of Public Procurement Department
incharge of the registration as a foreign vendor/non resident
Also, another condition is that, the cost of registering as a
VENDOR/NON RESIDENT CONTRACTOR cannot be deducted from the proforma invoice
amount and I am not in a position to pay it. It is your company full
responsibility to handle the payment. What I can only do for you is to allow you
to increase the FOB cost price of the product, so as to enable you recover the
money spent in registering as a VENDOR/NON RESIDENT
Therefore, before I go back to the buyer (NUMMTA) to discuss
further for him to place the order with your company, I need an honest and
sincere promise/assurance from you as the Managing Director/CEO or Owner that
your company is ready and willing to APPLY AND REGISTER AS A VENDOR/NON RESIDENT
CONTRACTOR and that your company will bear the full cost of processing the

Our National Bank is
using the VENDOR/NON RESIDENT CONTRACTOR certificate to control the influx of
substandard and inferior products coming into the country and your company
cannot receive any form of payment without applying and registering as a
VENDOR/NON RESIDENT CONTRACTOR.
Finally, I can allow you to adjust your
FOB price, so as to allow you to recover the money spent in registering your
company as a VENDOR/NON RESIDENT CONTRACTOR here in Nigeria, because the money
cannot be deducted from the proforma invoice and I am not in a position to pay
it. And the organization cannot pay your proforma invoice without you submitting
the registration certificate as a VENDOR/NONE RESIDENT CONTRACTOR.
